Updated March 1, 2023 and will be applied to any new bookings or credits transferred from previous years. If you booked your retreat within 12 months previous of March 1st, 2022, please click here to access your Terms and Conditions.
We get it. Things come up, change happens and sometimes travel needs to be rescheduled or canceled all together. While we completely respect your decision to withdraw from your retreat, we hope you’ll understand that we operate as a business and need to enforce our policies.
We first ask you, PLEASE make sure you are ready to commit to a BGP retreat. By registering for your retreat you are agreeing to make payment and attend your specific retreat.
Before clicking submit to join a retreat, please make sure to confirm that you,
Have verified the dates of travel
Considered the travel expenses and retreat costs and can afford both (You are responsible for travel, additional excursions, private lessons with instructors, additional meals, shopping, and any other expenses not included on your retreat’s contents page.)
Have your VALID passport if traveling outside your country
Are ready to have the best BGP time ever!
Once you have verified the info mentioned above, please understand and agree to the following:
There are absolutely no refunds on your deposit or trip. Your deposit reserves your spot and the necessary work behind reserving your spot (hotel/excursion reservation, studio placement, photoshoot booking, ect.).
We are not offering refunds at all unless under extraordinary circumstances as decided at that time by Team BGP.
If you cannot attend your retreat, your options are to:
Find someone to take over your spot & payments - which we may be able to assist with (we cannot guarantee someone will take over but may be able to let our community know and facilitate transfer when needed).
Transfer to another retreat or credit. Credits will only be given within the following guidelines:
You will have 30 days from the day you sign up for your retreat to transfer your payments to another retreat or credit for one 12 month period from the cancelation date (we encourage you to rebook as soon as possible).
After this 30 day period until 4 months from the 1st day of the retreat, you will receive 50% credit to transfer to another retreat for one 12 month period from the cancelation date (we encourage you to rebook as soon as possible).
From 4 months to 30 days out from the 1st day of the retreat, you will receive 25% credit to transfer to another retreat for one 12 month period from the cancelation date (we encourage you to rebook as soon as possible).
If you cancel within 30 days out from the 1st day of the retreat, there will be no credit or option to transfer to another retreat.
There is a ton of planning that happens behind the scenes to make these retreats happen and flow so beautifully. Even if you cannot attend your retreat, Team BGP still put in 110% to make sure your spot and vacation has been thoroughly planned and reserved. This includes OUR normally non refundable deposits being made to hotels, excursions, instructors, etc.
If you cancel your retreat less than 30 days from the first day of the retreat, you will receive no credit or refund.
With this in mind, we hope you’ll understand our reasoning behind the above mentioned policies. You also understand that by signing up for your retreat that you have thoroughly read, understood, and agreed to these policies.
If you request a refund for your retreat, we will send this policy and the date which you agreed as reference.
Once you register for your retreat, you MUST fill out the welcome form. If you don’t not receive it, please email us at info@blackgirlspole.com
If you need to make any changes to any of your retreat options, you must email info@blackgirlspole.com to request such change.
We created these policies to be clear and transparent. These policies ensure that you have a great time and BGP continues to grow and offer even better experiences.

Waitlist
Retreats fill up quickly so we’re offering 3 waitlist spots for each retreat. If you claim one of these spots, you need to be able to and will be responsible for paying for the entire retreat (and your personal flights to and from) before the start of the retreat. This means, if a spot becomes available with 6 weeks until the retreat, you would be responsible for paying the full amount by the start of the retreat.
ONLY CLAIM THESE SPOTS IF YOU KNOW YOU WILL BE ABLE TO PAY FOR THE ENTIRE RETREAT IN A SHORT TIME PERIOD.
How this will work:
If you would like to claim a waitlist spot, email us directly at info@blackgirlspole.com.
From here, we will request a $375 deposit for your spot.
If a spot becomes available, we’ll reach out directly and give you 24 hour to claim your spot and make a payment towards the trip.
If a spot does not become available, we will refund your deposit.
If you cannot attend at the time the spot becomes available, you forfeit your deposit. It will not be refunded.
Again, you are responsible for full payment of the retreat by the start of the retreat. And the same rules apply for cancelation as above.
Registration
Black Girls Pole™ organizers reserve all rights to refuse registration of a potential participant if it feels that individual may breach the Terms and Conditions here within. This retreat is open to all levels and all sexes and races. The registration is announced on the Black Girls Pole™ website www.blackgirlspole.com , Facebook and Instagram. Please plan your travel around the scheduled time frames for the Retreat. Travel is the responsibility of the Registrant and is not included in the prices of the event.
Black Girls Pole™ accepts online registrations only. To register for the retreat, go to the corresponding Retreat Page.
Cost of double room is per person and not per room. This means each person who would like to stay in a room together must each register for the retreat.
Payments
After submitting your registration information and the payment you will receive confirmation of your reservation from Black Girls Pole™ Retreat. An Invoice will be sent with the due balance and payment due dates if necessary. Please also fill out the welcome survey once received as soon as possible. If you do not receive it, please email us at info@blackgirlspole.com. Monthly payments must be made on a monthly basis. If you are going to need to skip a payment, please reach out to us directly at info@blackgirlspole.com. If we do not receive your payment or correspondence from you for more than 45 days, we have the right to remove you from the retreat without refund or credit.
Cancellation Terms and Charges
If you cannot attend your retreat, your options are to:
Find someone to take over your spot & payments - which we may be able to assist with (we cannot guarantee someone will but we can definitely let our community know of the open spot and facilitate transfer when needed).
Cancellation with Substitution: Registration transfer is an option provided that the participant notify Black Girls Pole™ of the new participant, the new student is approved by Black Girls Pole™, and then finalize the financial arrangement between the participant and his/her replacement. Black Girls Pole™ organizers must be notified of any substitutions and the substitute must accept ALL TERMS and CONDITIONS of the event. Individuals are responsible for canceling their own travel reservations. Black Girls Pole™ does not accept liability for lodging, travel or meal costs before, during, and after the retreat.
Cancellation with NO Substitute: Should you wish to request a cancellation with NO substitute, you will need to inform BGP by email within 90 days of the event. Your registration fees will be kept as a credit on your account for a future retreat, and will expire 1 year from your original retreat date.
Transfer to another retreat or credit. Credits will only be given within the following guidelines:

Transfers to other Retreats
If you would like to transfer to a different retreat, there will be a $400 transfer charge after 30 days from signing up. This is to cover the cost of canceling and transferring your bookings including but not limited to, hotels, excursions, photoshoots, classes, and more.
class Behavior
Students are expected bring positive, supportive energy to their fellow students and teachers. Students must be on time to class. Out of respect to the instructor and the other students in class, if you are more than 10 minutes late to class, you will not be able to participate in the class.
A ride will be included to and from the studio daily. However, if you are more than 10 minutes late for class, due to safety concerns, you will not be able to participate in class.
Changes
Black Girls Pole™ reserves the right to make changes to the published schedule if one or more of the advertised instructors are unable to attend. In the event of said change, you have no claim against Black Girls Pole™ in respect of such changes, and are not entitled to a cancellation or refund.
Weather is unpredictable and as such, we are not in control of cancelations due to weather on retreat excursions. If retreat excursions are canceled, our team will do our best to rebook a comparable activity as quickly as possible OR find another way to fill that time. However, we will not offer refunds if we are not able to rebook an experience. We have often times already paid for activities in advance and most do not offer refunds for cancelations.
Data Protection
By accepting the present Terms and Conditions you accept the personal information provided by you to be held on Black Girls Pole™ database. Black Girls Pole™ will not sell trade or transfer such personal information to third parties. Black Girls Pole™ may use your information for internal marketing, advertising or product/service offering purposes. For example, BGP could use your information for direct emailing of our newsletters and online surveys or notifications.
Liability
Black Girls Pole™ is not responsible and shall have no liability for loss or damage to any of your personal property or injury except where this is due to the negligence of Black Girls Pole™. Black Girls Pole™ will not be liable for any indirect or consequential loss suffered by you; or any loss of property personable (direct or indirect) suffered by you.
By signing up you are participating voluntarily in a Class or Workshop offered by Black Girls Pole™. I recognize that pole dance fitness, pole dance, yoga and other physical classes require physical exertion that may be strenuous and may cause physical injury, and I am fully aware of the risks and hazards involved. I represent and warrant that I am physically fit and I have no medical condition that would prevent my full participation and I agree to assume full responsibility for any risks, injuries or damages, known or unknown, which I might incur as a result of participating in the retreat.
I knowingly, voluntarily and expressly waive any claim I may have against Black Girls Pole™ and staff for injury or damages that I may sustain as a result of participating in the program.
COVID-19 Protocols
Due to COVID-19 and travel restrictions, we are asking that you provide proof of vaccination or a negative PCR test within 72 hours of travel. This includes both domestic and international retreats. Black Girls Pole™ will follow all protocols instilled by any local governments. This may include wearing of masks, social distancing, testing, insurance, quarantine, etc. Black Girls Pole™ is not responsible for any cost associated to COVID protocols.
